About the Surgery

Lime Tree Surgery is a small, friendly team within a busy, vibrant GP Practice. They have a proven track record of good staff retention, which they have worked hard to maintain, through a positive and supportive working environment. They pride themselves on going the extra mile for our 4000 patients. They are located close to J26 of the M1 and there is a reliable local bus service, with easy access to the City Centre. The successful candidate would be supported by their admin team, which includes their existing, highly-experienced medical secretary.

Post-holder requirements

This is a part-time post of 16 hours per week over 2 days (or 3 if preferred). The hours of work will be on a rota shift system covering the hours between 7.30am and 6.30pm.

The successful candidate must:
- be a polite, caring, compassionate team player with an emphasis on patient safety.
- have previous secretarial experience, preferably within the NHS – have excellent verbal and written communication skills

Job Summary:
- to provide a high quality secretarial support to the partners, GPs, nurses and management as required.
- to provide general assistance to the practice team and project a positive and approachable image to patients and other visitors, either in person, via the telephone or via email contact.

Main Duties:
- typing and processing patient letters, reports and activity relating to referrals, insurance company reports, SAR requests and to whom it may concern letters
- recording relevant patient data on practice clinical system providing an excellent audit trail
- taking messages
- actioning and pick up tasks and emails sent to you and the admin work group, dealing with urgent requests as soon as possible
- responding to patient enquiries via telephone, email or in person
- answering patient queries about referrals
- chasing up hospital appointments and test results where appropriate
- ensuring urgent and 2ww (fast track) referrals are booked through NHS electronic referral service, previously known as Choose and Book (or future referral method, if changes) and appointments made as soon as possible after GP referred
- maintaining outstanding activity / worklist and rejected referrals on the system
- carrying out any other delegated duties considered appropriate to the post.

This list is not an exhaustive list of duties. There may be times when this role will involve carrying out additional duties which will be appropriate to the post, to ensure the efficient running of the practice. As a small team, a degree of reception back-up is expected within this role, during colleague absence.
